Please note that the Area 78 Travel Assistance is intended to help and not to take away from our need to be self-supporting at all levels. The travel assistance is not meant to replace District support.
The Travel Assistance will be made available to any General Service Representative (GSR) or District Committee Member (DCM) in any District in Area 78, and the assistance is only available by written application .
$2,000.00 will be available for the Pre-Conference (March of each year) or for the Fall Assembly (September of each year). Every other odd-numbered year the Fall Assembly is a Voting Assembly (i.e., September 2007, 2009 and so forth.)
A simple application form (attached) must be submitted to the Chair of Area 78 by the following dates:
- o For the Pre-Conference Assembly – Deadline is one week before the January Committee meeting – notification the first week of February.
- o For the Fall Assembly – Deadline is one week before the May Committee meeting – notification the second week of June.
(Applications for the Pre-Conference (March) Assembly will be accepted before the January Committee Meeting and applications for the Fall or Voting (September) Assembly will be accepted before the May Committee Meeting. The timelines for application and notification will give the District that is applying the maximum amount of time to make cost effective travel arrangements for the Assembly they wish to attend.)
DCMs or GSRs may apply for assistance to travel either to the Pre-Conference Assembly, or for the Fall Assembly, but not both. Districts applying for a second travel subsidy in a calendar year will be considered only after all other requests have been considered and/or fulfilled.
All applications will be reviewed by the Area 78 Finance Committee (Delegate, Alternate Delegate, Past Delegate, Chair, Secretary, and Treasurer) and decisions made by this Committee will be final.
The following criteria will be used by the committee:
Districts must show a demonstrated need for the travel assistance. The budget (see application form) must show that the District and/or Groups are attempting to contribute to GSR/DCM travel. If there is little or no contribution by the District and/or Groups, please attach a note explaining the circumstances.
Every effort will be made to assist all applicants in whatever way possible, even if direct assistance is not available (i.e. billeting, car-pooling options, etc.).
